Biosketches to Better Compliance: Why Researchers Need to Know sciENcv

Federal research applications are becoming increasingly standardized, digital, and focused on transparency. At the center of this transition is sciENcv, a tool that researchers and research administrators can no longer overlook. Although this system has existed for several years, recent federal requirements have transformed it from a helpful resource into an essential component of proposal preparation and award management.


Short for Science Experts Network Curriculum Vitae, sciENcv is an electronic management system available through My NCBI. It allows researchers to create, manage, and maintain professional documents used for federal grant applications and reporting. The allure: Researchers can document their education, employment, publications, professional accomplishments, research activities, and sponsored projects in one centralized location, and tailor documents to a specific use quickly and easily.


Why Is sciENcv So Important Now?

Federal sponsors are moving toward governmentwide Common Forms for documents like the Biographical Sketch and Other Support. These forms are designed to create consistency across agencies, strengthen disclosure requirements, and reduce variations in the information researchers provide. Researchers are encouraged to generate the documents in sciENcv, download the certified PDFs, and upload them through Research.gov or Grants.gov. Documents created outside sciENcv may trigger compliance errors and be rejected by the submission system.


As of May 8, 2026, NIH mandated that applicants and recipients must use sciENcv to create the Common Form Biographical Sketch, Biographical Sketch Supplement, and Other Support forms for applicable applications, Just-in-Time (JIT) submissions, Research Performance Progress Reports (RPPRs), and prior approval requests. NIH submission systems now stops submissions that do not use the required compliant forms. In other words, using the wrong template is no longer simply an administrative inconvenience. It can prevent an application from being submitted.


What Can Researchers Create in sciENcv?

Depending on the sponsoring agency and submission type, researchers can use sciENcv to prepare documents such as:

  • Federal Common Form Biographical Sketches

  • NIH Biographical Sketch Supplements

  • Other Support forms

  • NSF-compliant senior or key personnel documents

  • Agency-specific biosketches for participating federal sponsors


Because sciENcv stores professional information within an individual profile, researchers can reuse much of their existing data rather than rebuilding every document from the beginning. However, reuse does not mean that documents should be generated without review. Every proposal, progress report, and support disclosure may require updated information. Researchers remain responsible for confirming that their documents are accurate, complete, and current.


The Benefits of Maintaining an Updated Profile

The greatest advantage of sciENcv is not that it produces a compliant PDF. Its real value comes from maintaining accurate information before a deadline arrives. A well-maintained profile can help researchers:

  • Reduce urgency with last-minute requests for biographical and support information

  • Create documents that follow the required sponsor format.

  • Reuse verified education, employment, publication, and appointment information.

  • Connect information from systems such as ORCID, eRA Commons, and My Bibliography (NCBI)

  • Update current and pending support records more efficiently


For investigators with multiple active projects, appointments, collaborations, or institutional affiliations, routine maintenance can significantly reduce the administrative burden associated with proposal submissions.


sciENcv Does Not Eliminate the Need for Careful Review

Automation is helpful, but it is not the say all be all. Researchers should carefully review professional appointments, in-kind contributions, active and pending projects, project overlaps, effort commitments, and outside activities before certifying a document. Current and Pending Other Support is intended to disclose the resources available to senior or key personnel and help sponsors evaluate capacity, conflicts of commitment, and potential scientific or budgetary overlap.


Information may need to be disclosed even when it does not appear in an institution’s internal disclosure policy. This can include certain external appointments, foreign affiliations, in-kind resources, laboratory space, equipment, visiting personnel, or support provided directly to an investigator.


Practical Tips for Researchers

To make sciENcv easier to manage, researchers should establish a regular maintenance routine rather than waiting until a proposal deadline to update their materials. Consider the following practices:

  • Connect Existing Accounts

    Linking ORCID, eRA Commons, and My Bibliography may allow information to populate more efficiently and reduce duplicate data entry.

  • Review Information Quarterly

Set aside time every few months to review appointments, awards, pending proposals, publications, and professional activities.

  • Update Support When Circumstances Change

New funding, changes in project effort, outside appointments, in-kind resources, or discontinued projects should be disclosed promptly

  • Create Documents Early

Do not wait until the final days before submission to generate the required PDFs. Early preparation provides time to resolve missing information, incorrect dates, certification issues, or system-access problems.

  • Download a New PDF for Each Submission

A PDF saved during a previous proposal may no longer reflect current support, the latest form version, or updated sponsor requirements. Generate and review a fresh document whenever possible.

  • Coordinate With Research Administration

Research administrators can help interpret sponsor instructions, review documents for consistency, and identify potential disclosure concerns. However, the investigator must ultimately confirm and certify that the information is accurate and complete.

For researchers, the best strategy is to treat sciENcv as professional record that needs to be maintained in real time, and not as a form that is completed only when a deadline is approaching.


For research administrators, the transition to sciENcv offers an opportunity to establish better workflows, provide proactive education, and help investigators maintain accurate records throughout the award lifecycle.
